Document management

Dealum lets you add documents in several ways and organize them into folders and subfolders. Depending on what you want to add, you can upload a file, upload a folder, add a link, or use the Description button to create an empty folder.



Regardless of the document's location or access rights, all files are restricted to maximum of 25MB per file, and picture files are restricted to maximum of 5MB per file.



Adding documents


Uploading a file


There are two ways to add a file to Dealum.


  1. Using the Upload button
  • Open the Documents section where you want to add the file
  • Click Upload
  • Select one or more files from your computer
  • In the Folder field, choose where the file should be added:
    • Leave the field empty if you don’t want to add the file(s) to a folder
    • Enter an existing folder name to add the file to that folder
    • Enter a new folder name to create a folder and add the file to it
    • To add the file to a subfolder, enter the folder path using "/", for example Legal/Contracts.
  • Click Save

You can also drag and drop files directly into the documents section you want to add them to or into a folder. 


Uploading a folder


To upload an entire folder with documents, hold Ctrl on Windows or Command on Mac—the Upload button changes to Upload folder. 
Alternatively, you can drag and drop the folder from your computer to Dealum. 



Dealum supports uploading folders containing up to 20 files.



Use the Link button when the document or resource is stored elsewhere and you want to add a link to it instead of uploading a file.

  • Open the relevant Documents section
  • Click on the Link button
  • Add the link
  • Optionally, assign a display name that you want to have displayed instead of the URL
  • In the Folder field, choose where the file should be added:
    • Leave the field empty if you don’t want to add the file(s) to a folder
    • Enter an existing folder name to add the file to that folder
    • Enter a new folder name to create a folder and add the file to it
    • To add the file to a subfolder, enter the folder path using /, for example Legal/Contracts.
  • Click Save


Creating and managing folders


Folders and subfolders can be used to keep related documents together. There are several ways to create them depending on whether you already have a document to add.



If you are uploading a document and the folder does not exist yet, you can create it during the upload.

  • Click "Upload" and select your file or click Link and enter your link
  • In the Folder field, type the name of the new folder
  • To create nested folders, use "/" between folder names — for example, Legal/Shareholder agreements
  • Click Save

The document/link is added inside the folder you specified.


Creating a subfolder


For adding a file or a link to a new or existing subfolder, use "/" between the name of the main folder and the name of the subfolder when entering a value to the Folder field in the process of adding or editing a document. 


For example, Legal/Contracts places the document in the Contracts subfolder inside Legal.


You can create multiple levels of subfolders in Dealum.


If you are using a specific folder structure which you want companies to populate with documents in data room or funding round, we recommend creating folders and descriptions once, downloading and storing the structure in your computer and uploading the whole set of folders for new companies at once to save effort.


Adding a document to an existing folder


There are three ways to add a document to an existing folder.

  1. You can use the Upload button connected to the folder (available in the folder menu that opens by clicking on the button with three dots).
  2. You can upload/add a file/link using the Upload or Link button and fill out the Folder field with the name of an existing folder where you want to put it.
  3. You can drag and drop  the document from your computer to a specific folder in Dealum.


Moving a document from one folder to another


To move an existing file or link to a different folder, edit the file or link and change the value in the Folder field accordingly. Please note that documents can be moved to a different folder only one by one.




Creating an empty folder


If you want to set up your folder structure before adding any documents, use the Description button.

  • Go to the documents section where you want to create the folder(s)
  • Click on Description at the bottom of the section
  • Enter the folder name
  • Add a description to the folder (this is mandatory for empty folders)
  • Save your changes


This creates an empty folder with a description that you, your members, and/or the company (depending on the documents section and visibility configured for the folder)  can later populate with files or links. 


Adding a description to an existing folder


You can add explanatory text to a folder after it has already been created.

  1. Find the folder
  2. Open its menu (by clicking on the button with three dots next to the folder)
  3. Select “Add description”
  4. Enter the description
  5. Save your changes


Folder descriptions can be useful for explaining what documents are stored in the folder or what information users are expected to provide.
