Document types and how to access them

Documents are files that can be uploaded to various places of the deal room. This articles outlines different document types and how to give or restrict access to them:

Application & company chat documents
Dashboard & Discussion documents
Deal room documents
Event documents
Funding round & funding round chat documents
Member documents
Portfolio documents

Did you know? You can upload documents by dragging and dropping them into a corresponding files section, folder or message box in Dealum. That also allows you to upload multiple documents at once if needed.

Regardless of the document's location or access rights, all files are restricted to maximum of 25MB per file, and picture files are restricted to maximum of 5MB per file.

Application & Company Chat documents



Application documents


Located in Funnel > selected company application > Documents tab > section "Internal documents"

These documents are connected to that specific company application.
You can create folders and subfolders for organizing the documents.
You can add descriptions to document folders when you open the additional actions menu of the folder and choose ‘Add description’.
You can create empty folders when you click on the "Description" button at the bottom of the documents section and give the folder a name and add a description.


Company chat documents


Located in Funnel > company application > Chat

These documents are only visible within the chat. They are not automatically added to application documents.



Access to application & company chat documents


Access to application & company chat documents is regulated by "Companies access" in Groups setup.

Application documents are seen with "View companies" access.
Application documents can be added and removed with "Full edit access".
Company Chat documents are seen with at least "View and communicate".


Dashboard & Discussion documents



Dashboard documents


Located in Dashboard > Intro

These documents are only visible within the Intro.
You can create folders and subfolders for organizing the documents.
You can add descriptions to document folders when you open the additional actions menu of the folder and choose ‘Add description’.
You can create empty folders when you click on the "Description" button at the bottom of the documents section and give the folder a name and add a description.


Discussion documents


Located in Dashboard > Discussions tab > selected discussion

These documents are connected to the specific discussion and are only visible within that specific discussion.


Access to Dashboard & Discussion documents


Access to Dashboard & Discussion documents is regulated by "Dashboard access" in Groups setup. Seeing the documents requires "View dashboard" rights, editing requires "Full access".

Members with view rights to discussions will not see private discussions (or documents in there), unless they are marked as participants by the discussion creator.
Members with "Full access" can see all discussions (and documents in there), including private discussions they are not participating in.


Deal room documents



Located in Documents (in the left side menu)

These documents are not connected to, or associated with anything else in the deal room.
You can create folders and subfolders for organizing the documents.
You can add descriptions to document folders when you open the additional actions menu of the folder and choose ‘Add description’.
You can create empty folders when you click on the "Description" button at the bottom of the documents section and give the folder a name and add a description.


Access to deal room documents


Access to Documents page is regulated by "Documents access" in Groups setup and deal room members can have no access, viewing rights or full edit access:



Event documents



Located in Events > selected event

These documents are connected to that specific event.
You can create folders and subfolders for organizing the documents.
You can add descriptions to document folders when you open the additional actions menu of the folder and choose ‘Add description’.
You can create empty folders when you click on the "Description" button at the bottom of the documents section and give the folder a name and add a description.


Access to Event documents


Access to Event documents is regulated by "Events access" in Groups setup.

Seeing the documents requires members to have either "View events" access or "View invited to" when invited to the event.
Adding or removing documents requires "Full access".

Adding companies to the event will not give them viewing right for the event or access to the documents. The companies will only see events and the documents attached after being specifically invited to the event.


Funding round & funding round chat documents



Funding round documents


Located in Funnel > selected company application > Funding tab > section "Documents"

These documents are connected to that specific company application's funding round.
You can create folders and subfolders for organizing the documents.
You can add descriptions to document folders when you open the additional actions menu of the folder and choose ‘Add description’.
You can create empty folders when you click on the "Description" button at the bottom of the documents section and give the folder a name and add a description.


Funding round chat documents


Located in Funnel > selected company application > Funding tab > "Chat with company"

These documents are only visible within the chat. They are not automatically added to funding round documents.



Access to funding round, and funding round chat documents


Access to funding round documents and funding round chat documents is regulated through the access to the specific funding round. There can be multiple ways to give or take away access from funding round.

Member documents



Located in Members > specific member > Documents tab

These documents are connected to that specific deal room member.
You can create folders and subfolders for organizing the documents.
You can add descriptions to document folders when you open the additional actions menu of the folder and choose ‘Add description’.
You can create empty folders when you click on the "Description" button at the bottom of the documents section and give the folder a name and add a description.


Access to member documents


Access to member documents is regulated by "Members access" in Groups setup.

Member documents are seen with "Full edit access" only.
When members can see the Members page (at least "View names" access), they also see their own Member Documents, but not necessarily all the documents there.
Deal room admins can choose if the document they are uploading to member documents will be visible to the member themselves:

When members have "No access" to other members, they can view their own member page by clicking "Membership" on the left side menu:



Portfolio documents



Located in Portfolio > specific portfolio company > Documents tab

These documents are connected to that specific company investment.
You can create folders and subfolders for organizing the documents.
You can add descriptions to document folders when you open the additional actions menu of the folder and choose ‘Add description’.
You can create empty folders when you click on the "Description" button at the bottom of the documents section and give the folder a name and add a description.


Access to portfolio documents


Access to portfolio documents is regulated by "Portfolio access", and weather or not member has invested into the company.

Members with "No access" to portfolio do not see any investments, including theirs.
Members with at least "View own investments" will access their own investments only, and the portfolio documents related to those investments - but no other portfolio documents.
Members with "Full edit access" will access all portfolio information with edit rights, including all documents, regardless of their own participation.
