What happens when a member leaves the deal room?
There are two default access levels in every created deal room — Member and Admin. Admins have full access to deal room settings and all functionalities in the deal room while Members have limited access.
It is also possible to create more custom access groups and edit the rights and names of the existing groups (except for editing the rights of the group you currently belong to) as well as to delete any groups no members belong to. To configure member access groups:
open your deal room from your user home view
navigate to the Members page from the left-side menu
click on the settings icon which displays “Groups setup”
Alternatively, you can access the groups configurator from deal room settings > Preferences > Member groups (in the Setup section).
You can configure the following for each group:
Companies access
No access (cannot see any company applications in the deal room)
View companies (can view company applications in discover, funnel and database steps they have access to)
View and communicate (can view company applications in discover, funnel and database steps they have access to and contact companies through Application discussion)
View companies and create funding rounds (can view applications in the deal room; can create and edit funding rounds, when activity access is also marked as full access)
Full edit access (in addition to 'View companies and create funding rounds' rights can move company applications in the funnel, send emails to companies, request more information from companies, manage tags, tasks and assignees of company applications, add information to company applications for internal use in the deal room, lock/unlock company changes, add companies to the deal room, and view company application activity logs)
Members access
No access (cannot see the list of other members)
View names (can only see the names of other deal room members and send them emails)
View investor profile (can see the list of other deal room members together with their investor profiles (if available) and send them emails but cannot see contact details)
View members (can see the list of other deal room members together with their contact details and investor profiles (if available) and send them emails)
Full edit access (in addition to 'View members' rights, can add members, remove members, change members' access, add tags and notes to members, view and upload member documents, and view member activity logs)
Activity access
No access (cannot access tabs "Funding" and "Discussions" on company applications and Application documents, cannot start discussions in dashboard Forum, cannot write testimonials for companies)
Full access (can view and participate in all discussions they have access to and start discussions in dashboard Forum, can view and mark funding interests on company applications, can view Application documents, can write testimonials for companies)
Portfolio access
No access (cannot access any portfolio information)
View own investments (each member can see only those portfolio companies he/she has invested in and the size of his/her investment)
View own investments and all companies (can view funding round level information about all companies in portfolio and detailed information about own participation in funding rounds)
View own investments and all member names (can view funding round level information about all companies in portfolio, names of investors who invested in each funding round and detailed information about own participation in funding rounds)
View everything (can view all portfolio companies together with information about which members and how much have invested in each deal)
Full edit access (can view all portfolio companies together with information about which members and how much invested in each deal and edit portfolio information)
Events access
View invited to (view the events which participants lists they're included in)
View events (view all deal room events except for those which visibility has been limited to participants only)
Full access (set up and edit events and invite participants)
Documents access
No access (no access to the deal room's documents section)
View documents (view deal room documents)
Full access (upload and manage deal room documents)
Dashboard access
No access (cannot access the deal room dashboard)
View dashboard (can view deal room dashboard, can start discussions in Forum if they also have activity access)
Full access (can view deal room dashboard, post updates and edit the intro section on the dashboard)
Network access
No access (cannot access the Network page in the deal room)
View Network (can view the Network feed and contacts)
Full access (can post to the Network feed and manage contacts)
Settings access
No access (cannot access deal room settings)
Full access (can change deal room’s preferences, setup and billing info, edit deal room’s profile, and export and import data, view activity logs)
Investor profile
If the "Investor profile" checkbox is ticked for a specific member group, then people who're joining that group are required to create an investor profile. Their profiles include information about their investment background/experience and investment interests. You can also ask them to provide other kind of additional information. To set up a custom application form for a certain member group, please get in touch with your account manager.
Application link
You can activate an application link for any groups you want people who are not members yet to be able to join via that link
If some features (e.g. Dashboard or Network) are not available in your deal room, corresponding access controls will be missing in your Member groups setup view.
Additionally, you can configure steps access and groups access for your member groups:
Steps access
In Steps access, you can configure the accessibility of funnel steps to different member groups. You can also configure what level of information each group can see on company applications in each funnel step. The options are:
No access – the group doesn’t have access to the given funnel step.
Individual – group members can see the step without applications. You can grant each member access to selected applications in the step via individual access setup.
Overview – group members have access only to information that is available in the Overview tab on company applications.
Details – group members have access to information that is available in the Overview and Details tab on company applications.
Reporting (full access) – group members have access to full information about companies in the step.
Individual access is not included in all subscription plans. For more information, contact your account manager or Dealum support.
Steps access doesn’t affect members’ access to application discussions or application documents.
Groups access
In Groups access, you can configure member groups’ visibility to member groups. This is applicable for groups whose members access has been configured as “View names” or higher. You can disable visibility of specific member groups to any chosen groups or choose what level of information they can see about members who belong to any specific group. The latter is applicable only when the groups’ members access has been configured as “View members” or higher. You can choose between the following access levels:
No access – the group cannot see members of the corresponding group in the deal room’s members list.
Overview – the group would see almost all investor profile information of members in the corresponding group, excluding answers to the questions “Your background”, “Indicative annual investment amount” (if this question has been activated for the specific group), address questions that are more detailed than city (if used) and any custom questions you have asked your account manager to add to the member application form of the corresponding group with the “Details” or “Confidential” access level.
Details – the group would see the same profile information of members in the corresponding group that is visible with the “Overview” level + “Your background”, “Indicative annual investment amount” (if this question has been activated for the specific group), address questions that are more detailed than city (if used) and any custom questions you have asked your account manager to add to the member application form of the corresponding group with the “Details” access level.
Confidential — group would see the same profile information of members in the corresponding group that is visible with the “Details” level + answers to any custom questions you have asked your account manager to add to your member application form of the corresponding group with the “Confidential” access level.

You can change the access of each member by assigning them to the any desired member access group you have set up in the deal room.
To move a member to a different access group:
go to the Members page in your deal room (from the left-side menu)
locate the relevant member in the members list
open the actions menu of the member
choose “Edit”
change the value for “Access”
click “Save”
You can also multi-select members to change access of multiple members at once.
The individual access feature is available as an add-on. Please contact your account manager or Dealum support for pricing information and adding it to your subscription.
If you want to give a member access to individual but not all applications in a funnel step, you need to first make sure that the member group they belong to can see the step. For that:
Go to Member groups setup
Open Steps access
Set the group’s access level for the step as “Individual”
Save the changes
As a result, the group will start seeing the funnel step without company applications. You can grant each member in the group access to applications of your choice. If you're on the member groups setup page, click on “Individual access” in the left-side menu. If you’re not on the setup page, follow these steps:
Go to deal room settings
Open the Preferences tab
Click on “Individual access” in the Configuration section
You can also get to Individual access setup when you go to Funnel > Funnel setup > Individual access.
To grant only selected members access to an individual application:
Click on “Add access”
Find the application
Select members whom you want to grant access to this application (you can apply different filters on the members list)
Choose the level of Companies access (you can learn about available levels above) you want to grant these members for the selected application
Choose if the selected members will have activity access for this application (you can learn about activity access above)
Choose what level of company information will be visible to the selected members by adjusting Data access (levels refer to corresponding tabs on company applications, higher levels include all lower level tabs)
Click “Add” at the bottom of the window
You can also grant individual access by selecting the member first and then choosing company applications you want to give them access to.
This feature can be useful when you have set up a voting round where you want to assign specific applications to each voter. It allows you to make only applications they need to evaluate visible to each voter.
The main view of Individual access setup provides an overview of all applications you have granted individual access to or all members whose access you have upgraded for some applications, depending on how you choose to group the data.
The individual access feature is available as an add-on. Please contact your account manager or Dealum support for pricing information and adding it to your subscription.
If you want a member who is a deal lead, a due diligence lead, or similar to be able to do activities with selected application(s) which they normally cannot do, you can upgrade their access for these applications via Individual access setup. It can be useful if you want them to be able to communicate with the company via application discussion or by email, assign application tasks to other members, move the application in the funnel, or similar.
To give a member additional access for specific company application(s):
Go to deal room settings
Open the Preferences tab
In the Configuration section click on “Individual access”
Click on “Add access”
Find the member whose access you want to upgrade
Select applications you want to give the member additional access to
Upgrade the access level for Companies access (you can learn about available levels above)
Give the member Activity access for these applications (you can learn about Activity access above)
Choose what level of company information the member can see on selected applications by adjusting Data access (levels refer to corresponding tabs on company applications, higher levels include all lower level tabs)
Click “Add” at the bottom of the window
The main view of Individual access setup provides an overview of all applications you have granted individual access to or all members whose access you have upgraded for some applications, depending on how you choose to group the data.
You can create create a member group that doesn't have access to deal room content by configuring all access types as "No access" or the lowest available level for them. You have to use "View invited to" for Events access but members of this access group would not see any events in your deal room if you don't invite them to any events.
Dealum offers two types of member seats:
Regular member seats - members occupying these seats can be granted any level of access to any parts of the deal room
Alumni seats - members occupying these seats can have access only to events they’re invited to and optionally their own investments in the deal room’s Portfolio
By default, all seats in your deal room are regular member seats. Alumni seats can be added to the subscription as an add-on in packages of 100 seats. For pricing information and adding alumni seats to your deal room, please contact your account manager or our support.
When you add alumni seats to your subscription, you will need to decide which member group(s) you want to store alumni members in. Those groups will have limited permissions described above and you will not be able to edit access rights of these member groups going forward.
Members you add to groups configured as alumni will count against the alumni members limit of your deal room. Members in other (non-alumni) groups will count against the regular members limit of your deal room. If you exceed the alumni members limit, exceeding alumni members will start counting against your regular members limit if that limit has not been reached yet.
For example, if you have 200 regular member seats and 100 alumni seats in your deal room and have added 150 regular members (to non-alumni member groups) and 120 alumni members to the deal room (to alumni groups), 20 alumni members will be counted against your regular members limit, meaning you have not exceeded your overall members limit. However, if you have added 210 regular members to the deal room (to non-alumni groups), you are exceeding your members limit and need to upgrade your subscription plan. In short, alumni members can also occupy regular member seats but not the other way around.
Members have an option to remove themselves from your deal room. When they do it, the following happens:
The member who left will no longer be able to access your deal room and cannot restore their access on their own
Members with full edit access to the members list receive a notification about the member having left
The member who left stays in your members list and still occupies a member seat
You should review the situation and decide whether you delete them from your members list completely or reinvite them to the deal room by using the “Invite to deal room” action
If you reinvite the member and they rejoin, their account will remain connected to their investments in your deal room’s portfolio, funding interests they had marked on applications, tasks assigned to them and other similar items.
When you remove the member from the members list, those connections will be permanently terminated.

How to change access of a deal room member?
You can change the access of each member by assigning them to the any desired member access group you have set up in the deal room.
To move a member to a different access group:
go to the Members page in your deal room (from the left-side menu)
